Promotional Activity General Policies
The Personal Appearance Form for Student Athletes (PDF) must be completed by the person/organization seeking a player/coach personal appearance. This form includes Guidelines for Autographed Items and the NCAA Bylaws Regarding Promotional Activities. Please make sure that all guidelines are met before faxing in the paperwork.
The Donation Request Form (PDF) must be completed by the person/organization seeking the donation item. This form includes Guidelines for Autographed Items and the NCAA Bylaws Regarding Promotional Activities.
The Donation Request Form (PDF) must be accompanied by a formal letter on the charitable organizations official letterhead - faxes are acceptable.
Any person requesting an autographed item, strictly for charitable use only, can provide the item (football, basketball, etc.). If the organization is interested, promotional items are available for sale through the Villanova Online Store. No items will be provided by the Villanova Athletic Department.
All completed request forms are to be faxed to: 610-519-7972.
The necessary application must be completed in its entirety, a minimum of 4 weeks prior to the requested deadline, before Villanova Athletics will consider the request.
Completion of the request for in a timely manner, and approval from the Compliance Officer does not guarantee the Athletic Marketing Office will fulfill the request.
If your request is approved by all parties, the Athletic Marketing Office will contact you for arrangements. If you do not hear a response we were unable to fulfill the request.
Due to availability of items, we must limit our donations to Tri-State Area (PA, NJ, DE) requests only.
Fulfillment of donation requests is limited and available on a first-come, first-serve basis. Unfortunately, we do not have the resources to help every organization that requests a donation.
Pursuant to NCAA regulations, items will not be donated to any entity that benefits a high school, high-school aged students, or affiliates of any high-school aged students.
The item needs to be sent to the following address. Any additional shipping costs must be paid for by the person seeking the autograph.

The item will then be shipped back to the organization (at their expense) or can be picked up in the Marketing Office.

Promotional Activity: Frequently Asked Questions
1. Is Villanova Athletics able to accept personal items, such as a T-shirt or ball, to be autographed by members of the team?
Due to the volume and frequency of requests, Villanova Athletics cannot accept items to be autographed. If the Department of Athletics is able to provide an autographed item, Villanova will provide it. Any item received by the Department of Athletics will be returned unsigned.
2. Can an autographed item be purchased from Villanova Athletics?
No. The Department of Athletics is not in the business of selling autographed items. Some donated items, however, do require a handling charge.
3. Can an autographed item be used as an auction or raffle item at a fundraiser?
Yes (with approval from the Compliance Office).
4. Does Villanova Athletics make autographed items available to individuals?
The Villanova Department of Athletics provides autographed items to charitable, educational, and some institutional entities. Typically this is limited to organizations, not individuals.
5. Will Villanova Athletics consider a donation for the benefit of a religious organization?
Yes.
6. Will Villanova Athletics consider a donation to a profitable corporate entity?
No. This rule is strictly enforced and governed by the NCAA. Villanova Athletics is also prohibited from providing any item to a charitable organization/event that is sponsored or cosponsored by a commercial entity.
7. I received an item for a charitable organization last year. Can I receive another item this year?
The Villanova Department of Athletics will provide a maximum of one autographed item per organization, per year. Receipt of an item in no way guarantees subsequent donations.
